Submission Guidelines for
HackArambh
Effective Date: October 25, 2025
HackArambh ("we," "us," or "our") operates
the website https://hackarambh.com/ (the
"Site"), a platform for multi-competition events, including coding
challenges, idea submissions, prototype developments, and innovation contests.
These Submission Guidelines ("Guidelines") outline the requirements,
process, and expectations for submitting entries to our competitions (each, a
"Competition"). By submitting an entry, you agree to these
Guidelines, our Terms
& Conditions, and any specific rules posted for the relevant Competition.
We encourage innovative, ethical, and original work. Review the specific
Competition page on the Site for details like themes, timelines, and judging
criteria. If you have questions, contact us before submitting.
1. Eligibility
- Participants: Open
to individuals or teams (up to 4 members) aged 18 or older (or with
parental consent if under 18). Participants must be legally permitted to
participate in their jurisdiction.
- Restrictions:
Employees, judges, mentors, sponsors, and their immediate family are
ineligible. We reserve the right to verify eligibility and disqualify
entries.
- Team
Requirements: Designate a team lead responsible for submissions and
communications. All members must agree to these Guidelines.
2. Submission Process
2.1 Registration
- Create
or log in to your account on the Site.
- Register
for the specific Competition via the "Register Now" button on
the Competition page. Entry fees, if applicable, must be paid at this
stage (see our Refund Policy for
details).
2.2 Preparing Your Submission
- Follow
the Competition's theme and guidelines (e.g., coding challenges may
require functional code; idea submissions may need pitch decks).
- Ensure
your submission is original and does not infringe third-party rights
(e.g., no plagiarized code or unlicensed assets).
2.3 Uploading Your Submission
- Access
the "My Submissions" dashboard after registration.
- Upload
required materials before the deadline (typically 11:59 PM IST on the
specified date). Late submissions are not accepted.
- Required
formats and limits will be listed on the Competition page (e.g., code in
GitHub repo link, prototypes as ZIP files up to 100MB, videos up to 5
minutes).
2.4 Confirmation
- You
will receive an email confirmation upon successful upload. Check your spam
folder if not received within 24 hours.
- Edits
are allowed until the deadline; after that, submissions are locked.
3. Submission Requirements
All submissions must include:
- Basic
Information: Title, description (up to 500 words), team details, and category
(e.g., Web Development, AI/ML, Mobile Apps).
- Core
Materials:
- Code/Prototype:
Functional source code, executable prototype, or demo video demonstrating
key features.
- Documentation:
README file explaining setup, dependencies, and how to run/test the
project.
- Idea/Pitch: For
non-technical tracks, a slide deck (PDF, up to 10 slides) or written
proposal outlining problem, solution, impact, and feasibility.
- Technical
Specs:
- Supported
languages/frameworks: As specified (e.g., Python, JavaScript; no
proprietary tools unless disclosed).
- File
types: .zip, .pdf, .mp4, GitHub/Bitbucket links (public repos preferred).
- Size
limits: 500MB total per submission.
- Ethical
Standards: Submissions must comply with laws, avoid harmful content (e.g.,
discriminatory algorithms), and promote positive impact. Disclose any
third-party libraries or AI tools used.
Incomplete or non-compliant submissions may be disqualified without
notice.
4. Judging and Evaluation
- Criteria: Vary
by Competition but generally include innovation (30%), technical quality
(30%), feasibility/impact (20%), presentation (10%), and adherence to
guidelines (10%).
- Review
Process: Blind review by judges and mentors. Top entries may advance to
live demos or interviews.
- Timeline:
Shortlisted announcements within 1-2 weeks post-deadline; winners notified
via email and Site.
- Feedback:
Limited feedback provided to shortlisted teams; full judging details not
disclosed to maintain fairness.
Decisions are final. We may use submissions for promotional purposes
(with credit) under our Terms.
5. Intellectual Property and Licensing
- You
retain ownership of your submission.
- By
submitting, you grant us a perpetual, non-exclusive, royalty-free license
to use, reproduce, modify, and distribute your submission for promotional,
educational, and archival purposes.
- Ensure
you have rights to all elements (e.g., open-source licenses for code).
6. Common Pitfalls to Avoid
- Plagiarism: All
work must be original; we use tools to detect similarities.
- Overly
Complex Submissions: Focus on working prototypes over unfinished ideas.
- Poor
Documentation: Include clear instructions—judges won't debug your code.
- Deadline
Misses: Set reminders; no extensions except in extraordinary cases.
7. Post-Submission
- Mentorship:
Shortlisted teams may receive mentor pairings for refinement.
- Prizes:
Awarded as described on the Competition page (see Terms for details).
- Disqualification:
Possible for violations (e.g., cheating, spam). You may appeal within 48
hours via email.
8. Changes to These Guidelines
We may update these Guidelines periodically. Check the Site for the
latest version. Changes apply to ongoing Competitions unless stated otherwise.
